Philz Coffee is an American coffee company and coffeehouse chain based in San Francisco, California that specializes in making drip coffee. The company has 37 locations spread amongst the San Francisco Bay Area, Los Angeles and Washington, DC.

Challenge

Philz Coffee uses Square’s mobile Point Of Sale (POS) system at all their retail locations along with NetSuite as their backend ERP. Since their POS system was not integrated with NetSuite, Philz’s staff had to manually pull data from their Square POS account (in MS Excel format) and upload that into NetSuite in order to reconcile their accounting on a daily basis. This involved considerable time and effort due to which Philz Coffee was looking for an automated integration solution that would help streamline the process.

Solution

Folio3 developed a custom NetSuite integration for Philz Coffee that automatically pulls transactions from their Square POS system and populates them within NetSuite based on the specified field mapping. The NetSuite Square integration module runs at periodic intervals every day in order to update accounting transactions between the two systems.

Thanks to Folio3’s efforts, Philz Coffee has been able to automate its accounting reconciliation between the two systems which has freed up its staff, who can now focus on other tasks. The NetSuite Square integration has also streamlined Philz’s financial reporting as their sales managers can now get timely insight into daily sales without having to wait till the next day for the data to be available in NetSuite.
